imeji creates citable research assets by describing, enriching, sharing, exposing and linking data.
In imeji, the user can create his own item collections. For each
collection, a metadata profile can be created to allow the user to
describe in detail the characteristics of the items within a
collection. After the profile is finished, metadata values can be added
to each item within a collection (e.g. an author, date or text),
either one by one, or within batch operations.
Collections can be kept private, so that they are only visible to the
creator, but they also can be published on the web to make them visible
and reusable by other researchers around the world.
Further on, users can also create albums with imeji. Within these albums,
they can collect items with different metadata profiles, which means
items from different collections. Similar to collections, albums can
also be kept private or can be published.
1.1. News
imeji allows the integration of an external blog or news feed where news concerning
the software, but also newly released collections and albums can be
published.
1.2. Login
Please enter your user name and password to view all of your private items in the
imeji database and to use the full set of functions (in particular, all
album functions). If you have forgotten your password, please contact
the imeji support team.

2. Collections
Collections group similar items together, which all share similar metadata.
For each collection, one metadata profile can be defined by the user.
In this profile the user can define specific metadata types for the
collection.
2.1. Create a Collection
- Go to Collections.
- Click on Create Collection.
- Enter the required information (collection name, author name and affiliation). Information on further authors and a description of the collections content can be added optionally.
- Via the plus (and minus) buttons, further fields for authors and organizations can be added (or removed).
- Click on Save (the newly created collection is automatically in the status private).
2.2. The Collection List
This list displays all collections accessible to the user:
all collections created by the individual user (identified via the user
account) irrespective of their status (private, published, or
discarded) and all collections published by other imeji users. If the
user is not logged in, this list contains only all published
collections.
Here, the user can change the number of hits displayed per page.
Further on, the sorting can be changed between sorted by state, title
or modification date and also a filter can be used which allows to
filter the collections based on following options: all collections, my
collections, only my private collections, only public collections, only
my discarded collections.
2.3. Create a Metadata Profile
- Go to Collections.
- View one collection by clicking on the name of the collection.
- Go to Collection metadata.
- Click on Editbelow the subtitle metadata profile.
- Define the title of the metadata profile (per default, it will be the same title as the one of the corresponding collection.
- Choose weather you want to create a new metadata profile or use an already available metadata profile as template.
- When you choose to define a new metadata profile, please define specific metadata elements for the collection. Each element consists of a type (e.g. person, date, number, text) and a name. Optionally, an online available vocabulary can be added to the element, or predefined values can be directly created in the profile. Further on, each element can be set as multiple, which means it can occur more than once for each item.
- Click on Save.

2.4. Manage a Collection
Upload Items to the Collection:
You can only upload items to private collections.
- Go to Collections.
- View one collection by clicking on the name of the collection.
- Go to Items Upload.
- Add files via selecting them on your system and then start the upload.
Delete /Discard Items:
- First you have to consider the state of your collection.
- When your collection has the state private, you can delete item within the collection.
o Go to Collections.
o View the collection by clicking on the name of the collection.
o Click on View items.
o Select the items that you want to delete.
o Click on Selected on the right hand of the page and choose Delete selected.
o If you want to delete all items: Click on All on the left hand of the page and choose Delete all.
- When your collection has the state published, you can only discard items within the collection.
o Go to Collections.
o View the collection by clicking on the name of the collection.
o Click on View items.
o Select the item that you want to discard.
o Click on Selected on the right hand of the page and choose Discard selected.
o If you want to delete all items: Click on All on the left hand of the page and choose Discard all.
o Discarded items are not searchable any more, but are still visible within the corresponding collection,
as it could happen that this collection was already cited somewhere.
Assign /Edit metadata values:
You can only assign /edit metadata values within private or published collections.
- Go to Collections.
- View the collection by clicking on the name of the collection .
- View all items of collection.
- To select multiple items for the metadata assignment set the checkboxes below each item. On the right side of the page, you will see how many items are currently selected.
- To edit the selected items, click on the triangle next to the number of selected items and choose Edit selected.
o Select one or several metadata types in the drop-down list. Then you can either decide to assign the same metadata value to all selected items via
the batch option on top of the page (here you have the option to only assign the new value when there is no value available for the item yet,
or to overwrite all values) or to add the values directly to each item separately.
o For the first case (batch adding), you have to confirm your choice via Add to all. For the single item adding via Save.
- To select only one item just view the item by clicking on it and then go to Edit below the subtitle metadata.

2.5. Edit the Metadata Profile
You can only edit a metadata profile for a private or a published collection.
- Go to Collections.
- View the Collection by clicking on the name of the collection.
- Go to Collection metadata.
- Click on Edit below the subtitle metadata profile.
2.6. Edit the Collection Metadata
You can only edit the metadata of a private or a published collection.
- Go to Collections.
- View the collection by clicking on the name of the collection.
- Click on Collection metadata.
- Click on Edit below the subtitle Collections basics.
2.7. Share a Collection
You can only share private collections.
- Go to Collections.
- Click on the name of collection to view the collection.
- Click on Share collection.
- Click to enter your email address.
- In the dropdown list you can choose the role of the person with which you want to share the collection.
- Click on Save.
2.8. Publish a Collection
You can only publish private collections.
- Go to Collections.
- View one collection by clicking on the name of the collection.
- Clicking on Publish. The collection is now visible for all imeji users.
2.9. Delete /Discard a Collection
- First you have to consider the state of your collection.
- When your collection has the state private, you can delete your collection.
o Go to Collections.
o Click on Delete (the collection is now deleted).
- When your collection has the state published, you can only discard your collection.
o Click on discard (the collection is now discarded). That means that it is not visible any more on imeji,
only when a user cites the exact URL of the collection (as all once released collections are citeable).

3. Albums
Albums are similar to photo albums in the non digital world. In an
album, the user can collect items from one or several collections
(that means the items can have different metadata profiles). An album
is a subset of the overall set of items within imeji.
Albums could be set up to illustrate a certain question (like 20 items
in an album out of 1000 items in the overall collection).
3.1. Create Album
- Go to Albums.
- Click on Create album.
- Enter the required information (album name, author name and affiliation). Information on further authors and a description of the album's content can be added optionally.
- Via the plus (and minus), further fields for authors and organizations can be added (or removed).
- Click on Save (the newly created album is automatically in the status private).
3.2. Album List
This list displays all albums accessible to the user: all albums
created by the individual user (identified via the user account)
irrespective of their status (private, published, or discarded) and all

3.3. Add Items to an Album
You can only add items to private albums.
- Go to Albums.
- Make the Album you want to add items to as active (in the right column of the album list).
- Browse imeji.
- Select items for editing via setting the checkbox below the items. On the right side of the page you can see the overall number of selected pictures.
- Click on "Add to Album" to add all the selected pictures to the album.

3.4. Edit Album Metadata
You can only edit album metadata from a private or a published album.
- Go to Albums.
- Click on the name of the album to view the album.
- Go to Album metadata.
- Click on Edit below the subtitle metadata.
3.5. Remove Items from an Album
You can only remove items from a private album.
- Go to Albums.
- Click on the name of the album to view the album.
- Click on View items.
- Select item you want to remove.
- Go to selected - remove.
3.6. Share Album
You can only share private albums.
- Go to Albums.
- View one album by clicking on the name of the album.
- Click on Share Album.
- Enter the e-mail address of the person you want to share the album with. This person must already have an imeji account, otherwise the functionality does not work.
- Define the role of the person you want to share the collection with:
o Viewer: the person can only view the album
o Album editor: the person can also edit the album and add /remove items.
3.7. Publish an Album
You can only publish private albums.
- Go to Albums.
- View one album by clicking on the name of the album.
- Clicking on Publish (the album is now visible for all imeji users).
3.8. Delete /Discard an Album
- First you have to consider the state of your album.
- When your album has the state private, you can delete your album.
o Go to Albums.
o Click on Delete (the album is now deleted).
- When your album has the state published, you can discard your album.
- Click on Discard (the album is now discarded). That means that it is not visible any more on imeji, only when a user cites the exact URL of the album (as all once released albums are citeable).

4. Search
imeji offers two different searches, the simple search and the advanced search.
4.1. Simple Search
The Simple Search is displayed as a free text field on top of every page.
Here the user can decide to either search for items or collections.
4.2. Advanced Search
The Advanced Search currently only works for items. Here the user
first has to define one or more (via the plus symbol) collections, then
one or more metadata values and then he can enter the values he is
looking for.
